Rental Property Accounting Software UK 2026: What Landlords Actually Need

What UK landlords need from rental property accounting software in 2026: per-property records, Section 24 finance costs, joint ownership, MTD quarterly updates, prices and a checklist.

Rental Property Accounting Software UK 2026: What Landlords Actually Need

Rental property accounting software helps landlords record rent and costs for each property, work out taxable profit, and send HMRC what it needs. Since 6 April 2026, that has mattered much more: landlords with income over £50,000 must keep digital records and send quarterly updates under Making Tax Digital for Income Tax (MTD), and the threshold drops to £30,000 in April 2027.

"Real estate rental accounting software" is a breakout search this quarter. Most general accounting software is built for businesses that sell things, not for landlords. This guide covers what property accounting needs that a trading business doesn't, what to look for in software, and what it should cost.

Why landlords need different accounting software

A rental business has rules that most small business software doesn't handle well:

  • Each property is its own story. You want to see rent, repairs and profit per address, not just one total.
  • Mortgage interest isn't a normal expense. If you own property personally, finance costs on residential lets give a 20% tax credit instead of being deducted from rent (the "Section 24" rule).
  • Joint ownership. If you own a property with a spouse or partner, you each report your own share.
  • UK and overseas property are separate businesses for HMRC, and must be reported separately.
  • Repairs vs improvements. Fixing a boiler is a deductible repair. Adding an extension is capital, and isn't deducted from rental profit.
  • Letting agent statements. You should record the gross rent and the agent's fees separately, not just the net amount the agent pays you.

What to look for in landlord accounting software

Must-haveWhy it matters
MTD Income Tax quarterly updatesThe law, if you're over the threshold
Per-property income and expensesSee which properties actually make money
Section 24 finance costsGets the tax credit right for individual landlords
Joint ownership sharesEach owner reports only their share
Property categories that match HMRC'sQuarterly updates use HMRC's property categories
Bank feedsRent and costs come in automatically
Accountant accessYour accountant can check the figures directly

Also check pricing per property. Some property tools charge per unit, which gets expensive as your portfolio grows.

Rental income and expenses: how to set up your records

  1. Add each property with its address and your ownership share.
  2. Record gross rent for each property, by date.
  3. Record each cost against the property it relates to, with the right category: agent fees, repairs and maintenance, insurance, utilities, ground rent and service charges, legal and accountancy, and so on.
  4. Keep finance costs separate. Mortgage interest and loan arrangement fees go in their own category so the Section 24 credit can be worked out.
  5. Don't count tenancy deposits as income while they're protected in a deposit scheme. Only amounts you keep, for example for damage, become income.
  6. Check the allowances. If your total property income is £1,000 or less, the property income allowance may mean you don't need to report it. Renting a furnished room in your own home? Rent a Room relief covers up to £7,500 a year (£3,750 if you share the income).

MTD quarterly updates for your property business

Under MTD, your property business sends HMRC a summary of income and expenses by category every quarter:

  • 7 August, 7 November, 7 February and 7 May. The next deadline is 7 November 2026.
  • Updates are cumulative, so you can correct earlier quarters in the next one.
  • After the tax year, you confirm your figures and submit a final declaration by 31 January.

There are no penalty points for late quarterly updates in 2026/27, but from 6 April 2027 they apply. For the full rules, see MTD for landlords and MTD ITSA quarterly updates. Not sure if you're in scope? Try our MTD ITSA readiness calculator.

Limited company landlords

If you own property through a limited company, the company pays Corporation Tax, finance costs are deducted in full, and MTD for Income Tax doesn't apply to the company. You need company accounting software that handles Corporation Tax and Companies House accounts, not landlord software. See how to file a CT600.

What rental property accounting software costs

Prices for landlord plans are usually lower than for trading businesses. As examples (excluding VAT, October 2026), FreeAgent's landlord plan is £10 a month (free with some banks), and AccLedger's is £5 a month. Property management tools that also handle tenants and maintenance often charge per property or per unit.

FAQs

What is the best accounting software for landlords in the UK? Choose one that's HMRC-compatible for MTD Income Tax, tracks each property separately, and handles Section 24 finance costs and joint ownership.

Do landlords need accounting software? If your property and self-employment income is over £50,000 (£30,000 from April 2027), yes: you must keep digital records and file through MTD software. Below that, it's optional but saves time at tax return time.

Can I use a spreadsheet for rental income? Yes, with bridging software that sends your MTD quarterly updates from the spreadsheet.

How do I record mortgage interest? Record it as a finance cost, separately from other expenses. For individual landlords it gives a 20% tax credit rather than reducing rental profit.

Do I report each property separately to HMRC? No. All your UK properties form one UK property business for HMRC. Per-property records are for you, to see what each property earns.

Is property management software the same as accounting software? Not always. Property management tools focus on tenants, rent collection and maintenance. Check they also keep MTD-compliant records and can file to HMRC.
