Stripe Integration

Stripe integration for UK accounting, reconciled to the penny

Stripe takes the payment; AccLedger keeps the books. Stripe pays you net, in batches, days later. Your books need every sale gross, every fee as a cost and every payout matched to the bank. AccLedger reads your Stripe account, shows exactly what is missing from your books and fills it in for you to check — then files your VAT return to HMRC from the same place.

Every payment has an invoice

AccLedger lists each Stripe payment that has no invoice in your books and prepares one — one per payment, or one monthly summary invoice per VAT treatment. You check it before anything is saved.

Payouts matched to the bank

Each Stripe payout is matched to the deposit on your bank feed, so you can see which payouts have landed and which are still on their way.

Fees checked against the month

Stripe's fees for the month are compared with the fee expenses you have booked. If they don't agree, AccLedger prefills the expense so you can book it from Stripe's tax invoice.

The right VAT on every sale

Use Stripe Tax? AccLedger takes the VAT Stripe charged. If not, it suggests the VAT from the customer’s country and what you sell — UK rate, outside the scope of UK VAT, or reverse charge.

Clearing account that proves itself

Sales, refunds, fees and payouts all run through a Stripe clearing account. At month end its balance should equal your Stripe balance — AccLedger shows you whether it does.

MTD VAT in the same app

No export to another package. The invoices you create from Stripe go straight into your VAT return, which AccLedger submits to HMRC.

Connect Stripe in a minute — read-only

AccLedger connects through its own Stripe App. You approve it in your Stripe Dashboard and it can only read: it cannot move money, refund a customer or change a setting. You can disconnect at any time, from AccLedger or from Stripe.

  • Installed from Stripe — no API keys to copy or paste
  • Read-only access to payments, refunds, fees, payouts and invoices
  • Only the business owner can connect or disconnect
  • Uninstall from your Stripe Dashboard and access stops straight away

Gross sales in, net payouts out — the way your accountant wants it

The common mistake is booking the payout as the sale. That understates turnover and hides Stripe’s fees. AccLedger books the sale gross to the Stripe clearing account, the fee as an expense, and the payout as a transfer to the bank, so turnover, costs and VAT are all correct.

  • Sales and refunds posted gross to the clearing account
  • Refunds become credit notes against the original sale
  • Payouts clear the clearing account against the bank deposit
  • Every entry is a balanced double-entry journal

VAT for customers abroad, worked out per sale

Tell AccLedger once how you charge VAT and what you sell — digital services, professional services, other services or goods. It then suggests the treatment for each Stripe payment from the customer’s billing and card country, and flags the ones that need a second look.

  • Stripe Tax users: the VAT Stripe charged is kept as it is
  • Non-UK customers of digital and professional services: outside the scope of UK VAT
  • Business customers abroad: reverse charge wording on the invoice
  • Address and card country disagree? Flagged for you to check

One monthly check instead of an afternoon in spreadsheets

Pick a month and AccLedger shows gross sales, fees, payouts arrived, open payouts, payments without an invoice and the clearing account balance — then exports the lot to CSV for your accountant.

  • Month view with a clear “needs attention” list
  • Export the month to CSV for your accountant
  • Accountants can review; only the owner manages the add-on
  • Works alongside your bank feed, invoicing and VAT return

Frequently asked questions

How much does Stripe reconciliation cost?
The Stripe payments add-on is £6 a month including VAT, on top of your AccLedger plan (sole traders from £7.50/month, limited companies £10/month). Each business gets a 30-day free trial of the add-on, and you can cancel any time.
Can AccLedger move money or change anything in my Stripe account?
No. The AccLedger Stripe App only asks for read-only permissions. It can read payments, refunds, fees, payouts and invoices, and nothing else. You can uninstall it from your Stripe Dashboard at any time.
Is this an alternative to A2X or Link My Books?
For Stripe, yes. A2X and Link My Books send summaries from your sales channels into Xero or QuickBooks, so you pay for the connector and the accounting software. AccLedger is the accounting software, with Stripe reconciliation built in and MTD VAT filing included.
How should Stripe payouts be recorded in the books?
Not as sales. Record each sale gross, record Stripe’s fee as an expense, and treat the payout as money moving from a Stripe clearing account to your bank. AccLedger works this way and checks that the clearing account ends the month equal to your Stripe balance.
How are Stripe fees booked?
Once a month, from the tax invoice Stripe issues for its fees. AccLedger compares the month’s Stripe fees with what you have booked to the Stripe vendor and prefills the expense when they differ — you attach the invoice and save.
Do I need Stripe Tax?
No. If you use Stripe Tax, AccLedger keeps the VAT Stripe charged. If you don’t, it suggests the VAT for each sale from the customer’s country and the type of service or goods you sell. Not VAT-registered? Invoices are prepared without VAT.
Can Stripe file my VAT return?
No. Stripe Tax calculates and collects VAT on your Stripe sales, but a VAT return also needs your purchases, bank transactions and any sales outside Stripe, and it has to be filed through MTD-compatible software. AccLedger brings your Stripe sales into the books with everything else and files the return to HMRC.
Who can turn the add-on on?
The business owner. Accountants and team members can see the reconciliation, but only the owner can start the trial, connect Stripe, or cancel.
